SOP for Handling Articles/eMOs Pending for More Than 7 Days After Receipt

1. Introduction

Timely disposal of Articles and eMOs is essential for ensuring quality service. Articles/eMOs kept in ‘Deposit’ in Delivery Offices beyond 7 days must be cleared without delay.

To enforce this, a critical compliance rule has been implemented in the Postman Delivery Management Microservice (PDMS):
“No Article/eMO should remain in ‘Deposit’ status for more than 7 days from the date of receipt in the office.”

If any article/eMO exceeds this limit, the system will flag the issue and block the account submission process (Postman and Direct Deposit cycles) until the article’s lifecycle is properly closed (Delivered/Returned/Despatched).

2. Validations During Submit Account

2.1 Postman Submit Account Validation

  • The system checks if any Articles/eMOs under the beat are pending in Deposit for more than 7 days.

  • If pending items exist:

    • Submit Account is blocked.

    • Error displayed: “There are articles pending for more than 7 days. Please complete their disposal (Delivery/Despatch) before proceeding with submit account.”

  • Pending items can be viewed under ‘In Deposit’ by selecting the relevant beat.


2.2 Window Delivery Submit Account Validation (Direct Deposit Items)

• Articles/eMOs kept in Direct Deposit (i.e., received in the office but not invoiced to Postmen/BOs) are also validated.

• If any item is pending beyond 7 days:
– Submit Account is blocked.
– The same error message will be displayed:

“There are articles pending for more than 7 days. Please complete their disposal (Delivery/Despatch) before proceeding with submit account.”

• Items can be viewed under ‘In Deposit’ → “Deposit with Office”. 


Identify such articles from “In deposit”- Deposit with Office option with number of days pending and process.

3.Validation During Shift End

• If Postman invoice or Window Delivery is not performed on a particular day, the system checks pending items during Shift End.

• If any article/eMO is pending beyond 7 days:

  • System displays the count of pending items.

  • Clicking the count shows a popup with article/eMO numbers.

Shift end display- The articles pending for more than 7 days will display in shift end screen.

On clicking the count, a pop up with article/emo numbers will be displayed to identify pending articles/EMOs.

4. Conclusion

The PDMS module ensures that no Article/eMO remains dormant in Deposit beyond the 7-day limit. Delivery Offices must regularly monitor and dispose of pending items promptly to maintain service quality.
