Simplified Guide to Claim Settlement
When a depositor passes away, the process for settling their account depends on whether they had registered a nominee. Here’s a breakdown of the three main scenarios:
✅ 1. When a Nominee Exists (Easiest & Fastest)
This is the most straightforward process. The nominee is the rightful claimant.
📄 Documents Needed:
- Form 11 (2 copies): The main claim form, filled by the claimant.
- ID Proof: Self-attested copy of the claimant's ID/address proof.
- Witnesses: Two witnesses to sign Form 11, with their self-attested ID proofs.
- Original Documents: The original Passbook or Certificate.
- Death Certificate: The original death certificate of the depositor.
- Bank Details: Claimant's POSB account details OR a copy of their bank account's first page with an ECS mandate form.
🏣 Post Office Action:
- Verify the account and nomination in the system (Fincale).
- Check the form and note on it: Balance Verified, Nomination Registered, No Court attachment, No Counter claim, Not Pledged.
- Verify the Death Certificate against the original and mark it “Compared with Original and Found Correct”.
- The Sub Postmaster (SPM) / Postmaster (PM) can sanction the claim for any amount.
📌 2. No Nominee, But Legal Heir Certificate Exists
If there is no nominee, the legal heirs can claim, provided they have a legal document.
📄 Documents Needed:
- All documents from the "Nominee" list (1–9 above).
- Legal Heir Certificate: Issued by the Tahsildar.
- Succession Certificate: Alternatively, one issued by a court.
- Form 14 (Disclaimer): On a ₹200 non-judicial stamp paper, signed by all other legal heirs (excluding the claimant) and attested by a Notary Public/Oath Commissioner. This shows they give up their share in favour of the claimant.
🏣 Post Office Action:
- Verify the account in the system.
- Check the form and note: Balance Verified, Nomination not Registered/Legal Heir Certificate produced, No Court attachment/Counter claim, Not Pledged.
- Verify the Death Certificate and mark it.
- Sanctioning Limits for SPM/PM:

Special Note: Postmasters in HSG I offices can sanction claims of any amount if a valid legal certificate is produced.
⚠️ 3. No Nominee AND No Legal Heir Certificate (Complex & Time-Consuming)
This applies when there is no nominee, and the family hasn't obtained a Legal Heir or Succession Certificate from the court/Tahsildar.
⏳ Important Condition: The claim can only be processed after 6 months from the date of the depositor's death.
📄 Documents Needed:
- All documents from the "Nominee" list (1–9).
- Form 15 (Indemnity Bond): On a ₹500 non-judicial stamp paper, signed by claimant, sureties, and witnesses, attested by Notary Public.
- Form 13 (Affidavit): On a ₹200 non-judicial stamp paper, signed by all legal heirs, attested by Notary Public/Oath Commissioner.
- Form 14 (Disclaimer): On a ₹200 non-judicial stamp paper, signed by all legal heirs except the claimant, attested by Notary Public/Oath Commissioner.
