APT 2.0 Cut-Off Time Management Guide

1. Purpose
  • The guide explains how to add and update Cut Off Times in the APT 2.0 system for transmission schedules.
  • Default cut-off time is set to 15 minutes before departure, but supervisors can edit it.
  • Ensures bag-wise cut-off timings are correctly maintained before scheduled dispatch.
2. Module Access
  • Role: Sorting Divisional Operator
  • Path: Sorting Module → Due Mail List → Maintain DML
3. Key Procedures
3.1 Open Due Mail List
  • Enter Office ID of Despatch.
  • Select schedule → click Maintain/Edit.
3.2 Add Cut Off Time
  • Select Stop Office and Bag Type.
  • Options: Forward Bag, Is Air, Exceptional Bag.
  • Enter Closed To Office ID and Cut Off Time.
  • Click Add → verify entry in table.
3.3 Update Existing Cut Off Time
  • Click Edit on the row.
  • Change Cut Off Time → Save.
  • Verify updated value before final save.
4. Operational Guidelines
  • Checks before updating: correct Stop Office, Bag Type, Closed To Office, and appropriate Cut Off Time.
Recommended actions:
  • Add only required bag-wise entries.
  • Update when schedules change.
  • Verify all entries before saving.
5. Expected Outcome
  • Accurate Due Mail List entries with correct Bag Type, Closed To Office, and Cut Off Time.
  • Flexibility to update whenever operational schedules change.
6. Bag Close & Routing
  • Login → Navigate to Bag Close at MO.
  • Select destination office and bag type → Fetch.
  • System displays schedule details (dispatch office, next office, departure/arrival times, cut-off time).
  • View Routing shows multi-hop transit path.
  • Incomplete hops are flagged with “Ask division to add routing.”
