This is regarding the Proposal for Organizing ForeverInLetters Campaign Pop-Up Event. In an effort to make success of this ForeverInLetters campaign, it is proposed that all Circles actively participate for organizing and hosting the ForeverInLetters Pop-Up Events. The success of this initiative requires concerted efforts from each Circle to ensure maximum reach and engagement, particularly in local communities. Through the organization of events at prominent key locations of the concerned Circle, we aim to promote the tradition of letter writing, focusing on encouraging youth to embrace this meaningful form of communication.

In this regard, please find the annexed proposed plan for the Pop-Up Events, including the details of the event, expected outcomes, and logistical requirements. Your cooperation in organizing and hosting these events will contribute significantly to the broader success of the campaign, making it a nationwide movement that resonates with diverse communities across the country.

Annexure-I – Plan for #ForeverinLetters Campaign Pop-Up Event

Location: Prominent places of the concerned Circle
Objective: Promote letter writing among the youths as part of the #ForeverinLetters campaign, mandated by HMOC.

Arrangements to be Made by Circle:Set Up Canopy and Photo Booth / Selfie Point:
  • Erect a well-branded canopy at the designated location, ensuring proper weatherproofing.
  • Include campaign branding, banners, and relevant decorations to attract footfall.
  • A photo booth corner for participants to take pictures with the coloured post box or standees.

Permissions:

  • Obtain requisite permissions from local authorities or municipal bodies for setting up the canopy and hosting the event.

Display & Manpower:

  • Deploy adequate personnel to manage stalls, interact with visitors, and guide participants.
  • A variety of stamps (modern and rare collectibles).
  • Philatelic ancillary products.
  • Information on the benefits of letter writing and how to start.
  • Participants must be encouraged to stick a stamp on the letters, for which plain envelopes, along with postcards and inlands, should be promoted, and attractive stamps, definitive as well as commemorative, should be made available.

Professional Emcees:

Arrange two engaging and interactive emcees to:
  • Host games or quizzes around letter writing.
  • Encourage audience participation by sharing personal stories or experiences with letters.
  • Promote the campaign hashtags #ForeverinLetters.
Social Media Integration:
  • Assign a dedicated team to cover the event on social media platforms.
Include:
Live updates, stories, and posts.
  • On-the-spot activities encouraging participants to share their photos or videos using #ForeverinLetters.
Materials for Distribution:
  • Provide postcards, inland letters, and envelopes to participants free of charge.
Coloured Post Box:
  • Arrange for a brightly coloured and themed post box to attract attention and allow participants to post their letters on the spot.
Printed Standees:
  • Design and print standees with the campaign's branding and details.
  • Key focus: #ForeverinLetters, the benefits of letter writing.
Interactive Activities:
  • Host letter-writing contests for participants to write a short letter on-site.
  • Include a section for kids where they can design or decorate their own postcards.
Philatelic Sales Counter:
  • Set up a counter for selling stamps and related materials for those interested in philately.
Refreshments for Visitors:
  • Provide light refreshments or beverages to keep visitors engaged and comfortable during the event.
Feedback Collection:
  • Provide a feedback book or QR code for participants to share their experience and suggestions for future events.
  • Make a Google Form for submission of Feedback.
