IPPB and CBS Accounting procedure in IT 2.0 at Post Offices
1 Procedure
(a) If advance cash is required for counter operations, the Counter PA must request it from the Treasurer through the Booking Solution by navigating to Counter Operations → Request Cash->Request Cash from Treasury
(a) Once the Treasurer processes the cash request in the Treasury module, the Counter PA acknowledges receipt of the cash through Counter Operations → Request Cash->Acknowledge Cash Received from Treasury
(c) After acknowledging the cash, the Counter PA should click on the wallet option to confirm the balance update.
(d) The Counter PA must also receive the cash through HTM in Finacle, and the supervisor will verify the transaction.
(e) To reconcile the wallet and treasury balance in the IT 2.0 application, the Counter PA must enter the total CBS receipts and payments as per their finacle counter transactions, after tallying the CBS data. Below procedure has to be followed by the counter PA:
Booking Solution → Counter Operations → Miscellaneous Transactions accounting
(f) Select Wallet Adjustments-Receipts- (Receipt Side – Positive) and enter the CBS total receipts amount and Submit.
(g) Then select Wallet Adjustments-Payments- (Payment Side – Positive) and enter the CBS total payments amount and Submit.
(h) After entering the receipts and payments, the Counter PA needs to transfer the cash to the treasury via the Booking Solution by navigating to the Counter Operations and selecting Transfer Cash. The Treasurer will receive the cash physically and acknowledge it in the treasury module.
(i) At the end of the day, the Counter PA should reconcile the total receipts and payments with manual vouchers and the Finacle Reports. Once cash and vouchers are tallied, the Counter PA needs to transfer the cash through HTM in Finacle, with the supervisor verifying the transaction.
(j) Then the Supervisor will initiate the HISCOD, and the Circle CPC will do the HSCOD in Finacle.
(k) The Supervisor must fetch the CBS data through Treasury > Tools > Fetch CBS Data in IT 2.0 and ensure that the entries reconcile with the transactions performed in the office.
2 Accounting of IPPB transactions performed at Counters:
As mentioned for CBS above, wallet adjustment to be performed by the counter PA by entering the details in Booking Solution → Counter Operations → Miscellaneous Transactions accounting in the under Wallet Adjustments-Receipts- (Receipt Side – Positive) and Wallet Adjustments-Payments – (Payment Side- Positive) then amount to be transferred to treasury.
3 Accounting of IPPB Transactions performed by Delivery Staffs:
Upon manual approval by the supervisor, treasurer may give the advance cash to delivery staffs manually by updating in the appropriate records. Once postman returns, Supervisor has to confirm the transactions in the IPPB Reports and Treasurer has to login to the Booking Module and updated total IPPB transactions performed by the Delivery staff by entering the details in Booking Solution → Counter Operations → Miscellaneous Transactions accounting in the under Wallet Adjustments-Receipts- (Receipt Side – Positive) and Wallet Adjustments-Payments – (Payment Side- Positive).
1. After ensuring the Point no 13 & 14 , Supervisor has to fetch the IPPB Data through “IPPB Data fetch” option.
(m) Operators must submit the account using the "Common Account Submission" option in the Booking Solution, after which the Supervisor will verify the accounts.
(n) Lastly, the Supervisor should check and confirm that the entries are reflected in the DTR of IT 2.0.
Accounting of CBS and IPPB Transactions at Branch Offices:
IPPB Transactions will be fetched automatically in the “Close Account” option and same needs to be confirmed by the BPMs.
CBS transactions will be fetched during “Day end” in the BO Mobile Application. BPM has to confirm the CBS transactions.
