📘 SOP for Material Code Creation (Philately Items in Inventory Management)

🎯 Purpose

• Standard Operating Procedure (SOP) for creating material codes for Philatelic products in the Inventory Management system.
• Ensures uniformity, traceability, and compliance with philatelic release practices.

• Role Required: Inventory Admin (Code: INT-IA-CRUD)
• Accessible To: Directorate (for creating codes for Philately products).
• Microservice: Inventory Management.

🛠️ Navigation Path

1. Click Inventory card under Inventory and Procurement Management.
• Options available: Inventory, Procurement, Products Data Sanitization.
2. Click Material Creation card under Inventory Management.

• Options include: Material Creation, Raise Indent, Authorize Indent, Approve Indent, Accept Stock, etc.

📋 Steps for Material Code Creation

Step 1: Select Category

• Choose Main Category (default = Philately).
• Select Category and Subcategory.

Step 2: Enter Material Details

• Mandatory fields:

• Material Name
• Material Description
• Material Purpose
• Material Face Value
• Material Weight (grams)

Step 3: Provide Validity Period

• Enter Valid From and Valid To dates (dd-mm-yyyy format).

Step 4: Generate Material Code

• System auto-generates a predefined category code based on selections.
• User can append up to 6 characters (e.g., abbreviation of event/person).
• Final code = Predefined Code + User Input.

Example:

• Category: Commemorative Stamps → Subcategory: Personality Stamps
• Validity: 13-11-2025 to 13-11-2025
• Auto Code Preview: COM2025-PSNTST-
• User adds SVP → Final Code: COM2025-PSNTST-SVP

Step 5: Finalize

• Click Create Material.
• Success message confirms code creation.

📌 Mandatory Philatelic Accompaniments

• For Commemorative Stamps (COM) including Miniature Sheets (MNS) and Sheetlets (SHL): Must generate First Day Cover (FDC), FDC Cancelled, and Brochure concurrently.
• For Definitive, Special Definitive, My Stamp, Ancillary Items, Maxim Cards: No mandatory accompaniments.
