Transfer Data Entry Procedure in APT 2.0 Application

The transfer data entry page will enable the administrative offices (Circle/ Division/ Directorate) to capture the details of the transfer not updated in IT 2.0.

1. The Joining office needs to login to the employee portal to perform the transfer data entry. The TRF-DE-CRUD role is to be provided by RDA to perform this activity.

2. The user needs to enter the employee id of the employee for which the transfer needs to be captured.
3. After clicking of “Fetch Details”, the details of the employee will be fetched from the HRMS/PIS system and populated on the screen to proceed further.
4. Please note that the concerned admin offices are restricted to enter the transfer data entry details which are allowed. For example, the Rule-38 transfer of the MTS/Postman are to be entered by the division office whereas the Rule-38 transfer of the PACO officials needs to be captured by the joining circle office only.

5. Along with the details of the employee, the details of the allowed cadres are populated in the dropdown menu of the destination cadre. The joining office (who is performing the data entry) needs to select the appropriate cadre in which the employee joined.

6. After selecting the cadre, the user is allowed to select the vacant post in the joining office to map the employee to the vacant post. The user may need to select the office of joining first and then the vacant post to fill wherever required. For example, the user can select the joining post office first and then the vacant post in the joining post office selected to perform the transfer data entry for a PA.
7. Further the user needs to fill in the other details like Relieving Date and Day Time, Joining Date and the Day Time.
8. The letter/order number may please be entered in the remarks column and same can be uploaded using the link provided. The user can view the file uploaded before proceeding further.
9. On clicking “Preview and Submit”, the user will be able to preview the transfer details being submitted to the system along with the employee being transferred.
10. If the details are inappropriate, the user can use the edit button to update the details. If the data is appropriate, the user can accept the checkbox by selecting the same and proceed for final submission.
11. An MIS Report on the transfers data entered through the Transfer data entry page is also provided.
