 📌 Simplified Digest – SOP for Material Code Creation (Special Covers)

🎯 Purpose

• Standard procedure for creating material codes for Special Covers in the Inventory Management system.
• Accessible to Circle Office (CO), Regional Office (RO), and Divisional Office (DO).

🔑 Key Steps

1. Login & Navigation
• Go to: https://app.indiapost.gov.in/inventory/create-material.
• Path: Inventory and Procurement Management → Inventory Management → Material Creation.
2. Step 1 – Select Category
• Main Category: Philately (default).
• Category: First Day Covers (default).
• Subcategory: Choose appropriate option (e.g., COM – Special Covers).
3. Step 2 – Enter Material Details
• Required fields: Name, Description, Purpose, Face Value, Weight.
4. Step 3 – Provide Validity Period
• Enter Valid From and Valid To dates.
5. Step 4 – Generate Code
• System auto-generates base code (e.g., FDC2025-SPLCOV-).
• User appends up to 6 characters (e.g., NMM → FDC2025-SPLCOV-NMM).
6. Step 5 – Finalize

• Click Create Material → success message confirms code creation.

📌 Mandatory Rule

• For Special Covers, both:

• Special Cover and
• Special Cover – Cancelled
  must be created together.
