Subject: Urgent proposal for cooling measures and sustainable Infrastructure in post offices Amidst Extreme Heat Waves

Respected Madam,
With reference to the subject, this association brings to your esteemed attention the pressing need for climate regulation and sustainable infrastructure improvements in post offices, particularly in regions experiencing extreme heat waves.

With temperatures soaring to unprecedented levels, postal staff—especially postmen and field employees—continue to serve the public under harsh and unbearable conditions. Unlike many government institutions, banks, and private-sector organizations that provide modern infrastructure and comfortable working environments to enhance productivity, post offices often lack adequate cooling facilities. This prolonged exposure to extreme heat not only compromises employee health, leading to dehydration, exhaustion, and heat-related illnesses, but also affects operational efficiency and service quality.

To address this growing concern, this association earnestly proposes the implementation of the following measures:

(i) Provision of Air Conditioners/Desert Coolers – Installing cooling systems in post offices will ensure a more comfortable working environment, safeguarding the health and well-being of postal staff.
(ii) Installation of Water Coolers – Access to cold drinking water will help employees stay hydrated and reduce the risk of heat-related ailments.
(iii) Outer Wall Greenery for Heat Reduction – Planting vegetation around post office buildings will act as a natural barrier against excessive heat, contributing to a cooler and healthier workspace.
(iv) Rooftop Solar Panel Systems – Incorporating solar energy solutions will not only help reduce electricity consumption but also support the government’s commitment to sustainable infrastructure and energy efficiency.

Implementing these measures would demonstrate the Department’s dedication to employee welfare while aligning post office infrastructure with modern workplace standards observed in other government and private institutions. Moreover, sustainable improvements such as greenery and solar power will contribute to long-term environmental benefits and operational cost savings.

Considering the urgency of this matter and the increasing frequency of extreme climate conditions, this association kindly requests the Department to initiate phased implementation of these enhancements in the most affected regions. This association trusts that this proposal will receive due consideration, and proactive steps will be taken to improve workplace conditions for postal employees. Customers, especially the elderly, will also feel happy and comfortable by getting work done at the post office.
