Rollout of Unaccountable Mail Tracking in Metro Cities

An office order dated 26 May 2026 from the Bengaluru GPO to multiple divisional heads (Bengaluru East/West/South Divisions, Sorting Division) regarding the full-scale rollout of tracking for unaccounted (unregistered) mail in metro cities, effective 15 May 2026.
Key Points:

Objective:
Implement end-to-end system-based tracking of unaccounted mail (e.g., ordinary letters, bulk mail not previously tracked) across all induction points and delivery offices.
Process includes:
  • Barcode affixing
  • System-based induction
  • Invoicing of articles at delivery offices
Action items for Divisions (priority directives):
  • Ensure all articles from counters, letter boxes, BPCs, and bulk customers are inducted into the system.
  • Sensitize bulk customers on revised induction process and mandatory barcode affixing.
  • Pool unused RK-series barcodes and position them at identified induction points.
  • Arrange barcode affixing where not pre-affixed – no article inducted without barcode scanning.
  • Ensure IT infrastructure – staff, scanners, computers, internet.
  • Train operational staff on barcode affixing, scanning, and system handling.
  • Monitor implementation and resolve operational issues promptly.
Deadline: Full operational readiness required immediately (backdated to 15 May 2026, with this letter issued on 26 May 2026).

The letter refers to previous communications from the Circle Office (14 May 2026) and Directorate (13 May 2026).
